Main purpose of job

In delivering this function, the Engagement Officer plays a key role in establishing, maintaining and nurturing proactive, meaningful engagement across the 4P’s Society. Specifically, the post holder acts as the lead adviser and mentor of the Employee Forum and provides ongoing support to influence and shape the development of volunteer engagement opportunities. The role is also responsible for related communications and activities and ensures they are regularly measured and reported on to monitor how we connect to our people meaningfully and across the company.  

Position in Organization

  • CEO sets vision for an engaged, professional and motivated workforce, with each individual capable of and empowered to make a positive and lasting contribution to users
  • Engagement Officer alongside HR and CEO will work on Organisational Development, HR Operations, Engagement Plan, HR Business Partnering and Volunteering Development
  • Engagement Officer works closely with all leaders
  • The post holder will be expected to be a proactive ambassador of core values for company as a whole.

Dimensions and Limit of Authority 

  • No Management Responsibility as there will be no headcount under Engagement Officer
  • Responsible for the provision of excellent and consistent proactive and responsive advice to all levels of employee and volunteer on engagement, and guidance and coaching particularly to members of the Employee Forum (steering committee).
  • Responsible for organizing events in order to ensure whole company fully gets and enrolled in core values and vision

Duties and Key Responsibilities

Employee and volunteer engagement:

  • Responsible for advice, support, and the ongoing development of the Employee Forum, liaising with the HR and CEO
  • Responsible for ensuring the involvement of the Employee Forum in relevant 4P’s Society wide activity to maximise employee engagement, such as the periodic engagement survey 

Writing, Presenting and Analysis 

  • Produce accurate copy, in line with house style, for a range of internal communications including bulletins, briefings and the intranet (FaceBook @ Work) related to the post holder’s main areas of activity
  • Sensitively edit and proof-read the work of colleagues in the Employee Forum in line with house style and internal communications best practice

Event Management 

  • Assist the Internal Communication and Engagement with the organisation of, and content development for, key organisational events such as management conferences and virtual meetings.
  • As part of the support to the Employee Forum, responsible for the design and implementation of the weekly or biweekly events as well as monthly All Hands Meeting.

Additional Responsibilities 

  • Develops long-term strategies and sponsors key initiatives to promote and achieve a culture of service excellence and employee engagement
  • Develops and executes annual budgets and proposals, timelines and creative design to increase employee engagement and to sustain the employee culture
  • Oversees the overall production of internal communications, events and programs materials, including newsletters, pre-shifts, e-blasts, Facebook, LinkedIn etc. for the purpose of communicating critical information to employees. Ensures all communications reaches multi-generations, diverse employees, and various levels of education
  • Develops employee recognition strategies to include reviewing, evaluating and making recommendations for departmental recognition programs together with Leaders
  • Participates in ongoing analysis of key data identifying trends. Develops, evaluates and implements new processes to ensure employees are informed of company programs and announcements
  • Collects timely data to support business initiatives through focus groups, surveys, town halls, one-on-one interviews, and other methodology; evaluates and applies the data to support decisions
  • Strategically collaborates with and builds relationships across functional divisions, Corporate Entities, properties and key external stakeholders
  • Assess and analyze targeted stakeholders to enable strategic design and implementation of initiatives
  • Researches, evaluates and selects vendors according to requirements aligned with the request for proposal
  • Other job related duties as requested

Education and qualifications: Graduate level or equivalent experience 

Skills and experience

  • Excellent written & verbal communication skills (VN and EN) 
  • Excellent negotiating and influencing skills; ability to influence beyond your authority and evidence a positive impact on the organisation
  • Excellent organisational skills, including the ability to plan, prioritise and deliver
  • Ability to manage a number of different work streams under pressure 
  • Ability to contribute to budget management
